Lumen Webinar and Events – Terms and Conditions

1. Introduction & Acceptance

These Terms and Conditions ("Terms") govern your registration for and participation in any webinar, virtual event, in-person event, conference, roundtable, workshop, or any other event (collectively, the "Event") hosted, sponsored, or organized by Lumen Technologies, Inc. and/or its affiliates ("Lumen," "we," "us," or "our").

By registering for, attending, or participating in an Event, you ("Attendee," "Registrant," "you," or "your") acknowledge that you have read, understood, and agreed to be bound by these Terms, along with Lumen's https://www.lumen.com/en-us/about/legal/privacy-notice.html and any additional event-specific terms communicated to you. If you do not agree, please do not register or attend.

 

2. Registration & Eligibility

  • Accurate Information: You agree to provide true, current, and complete information at the time of registration. Lumen reserves the right to refuse, cancel, or revoke registrations submitted with false, incomplete, or misleading information.

  • Age Requirement: Attendees must be 18 years or older unless explicitly stated otherwise for a specific Event.

  • Professional Audience: Events are generally intended for business, professional, partner, customer, and prospect audiences. Lumen reserves the right to verify eligibility.

  • Restricted Participants: Registration may be denied to competitors, media (unless pre-approved), or individuals from restricted/sanctioned jurisdictions as per applicable export-control and trade laws.

  • Non-Transferable: Registrations are personal to the registered Attendee and may not be transferred, resold, or shared without prior written consent from Lumen.

 

3. Right to Withdraw Invitation / Refuse Entry

Lumen reserves the absolute right, at its sole discretion and without prior notice or obligation to provide a reason, to:

  • Withdraw, rescind, or cancel any invitation issued to a registrant or attendee at any time before or during the Event.

  • Refuse entry, deny access, or remove any individual from the Event venue, platform, or session.

  • Cancel or invalidate any registration, ticket, or confirmation previously issued.

Such withdrawal or refusal may occur for reasons including but not limited to: ineligibility, security concerns, breach of these Terms, capacity constraints, competitor participation, regulatory requirements, or any other reason Lumen deems necessary to protect its interests, attendees, or the integrity of the Event.

 

4. Right to Modify, Reschedule, or Cancel the Event

Lumen reserves the right, at its sole discretion, to make any and all changes to the Event, including but not limited to:

  • Date, time, and duration of the Event or individual sessions.

  • Venue or location, including changing from in-person to virtual (or vice versa) or to a hybrid format.

  • Agenda, program, content, format, or session structure.

  • Speakers, presenters, panelists, hosts, sponsors, or moderators (substitutions may be made without prior notice).

  • Technology platform used for delivery (e.g., switching webinar providers).

  • Postponement, suspension, or full cancellation of the Event.

Lumen will make reasonable efforts to notify registered attendees of material changes via the email address provided during registration. However, Lumen shall not be liable for any losses, expenses, damages, or inconveniences (including travel, accommodation, or third-party booking costs) incurred by attendees as a result of any such changes.

 

5. Post-Event Communications & Marketing Consent

By registering for or attending the Event, you expressly acknowledge and consent that:

  • Lumen and its authorized affiliates, partners, sponsors, co-hosts, and service providers may contact you before, during, and after the Event via email, phone, SMS, postal mail, or other communication channels.

  • Such communications may include, without limitation: 

  • Event reminders, logistics, joining details, and follow-up materials.

  • Post-event recordings, presentation decks, on-demand replays, and related resources.

  • Feedback surveys, polls, and research requests.

  • Sales outreach, account executive follow-ups, and qualification calls.

  • Information about Lumen products, services, solutions, offers, and promotions.

  • Invitations to future webinars, events, and marketing programs.

  • Newsletters, thought-leadership content, and case studies.

  • You may withdraw consent or opt out of marketing communications at any time by using the unsubscribe link in our emails or by contacting privacy@lumen.com. Transactional and event-related communications may continue as necessary.

 

6. Data Collection, Use & Sharing

  • Information Collected: Name, business email, phone, job title, company, country, industry, and any responses provided during registration, polls, Q&A, or surveys. For in-person events, this may include dietary preferences, accessibility needs, and identification details.

  • Purpose of Use: To deliver the Event, communicate with you, personalize your experience, conduct analytics, improve future events, and pursue legitimate business/marketing interests.

  • Sharing with Third Parties: Your registration data may be shared with: 

  • Co-hosts, sponsors, and presenting partners of the Event (where disclosed at registration).

  • Service providers such as webinar platforms (e.g., ON24, Zoom, Cvent, GoTo Webinar), CRM and marketing-automation vendors (e.g., Salesforce, Marketo), and analytics providers.

  • Regulatory authorities where required by law.

  • International Transfers: Data may be transferred to and processed in the United States or other jurisdictions where Lumen or its providers operate, subject to appropriate safeguards.

 

7. Recording, Photography & Use of Likeness

  • Events may be recorded, photographed, livestreamed, or transcribed for promotional, training, educational, archival, or commercial purposes.

  • By attending (in person or virtually), you grant Lumen an irrevocable, royalty-free, worldwide, perpetual license to use, reproduce, edit, distribute, publish, and display any recordings, photographs, video footage, audio, chat messages, Q&A submissions, polls, and likeness (including name, voice, image, and statements) in any media now known or hereafter developed, without further notice, compensation, or approval.

  • If you do not wish to appear on camera or in recordings, please keep your camera off, refrain from speaking on-microphone, and avoid being in photographed areas at in-person events.

 

8. Attendee Conduct & Code of Behavior

Attendees agree to:

  • Behave professionally and respectfully toward all participants, speakers, staff, sponsors, and vendors.

  • Refrain from harassment, discrimination, hate speech, intimidation, disruptive behavior, solicitation, unauthorized recording, or any unlawful activity.

  • Comply with all venue rules, platform terms, health & safety protocols, and instructions from Lumen staff.

  • Not engage in unauthorized marketing, sales pitches, recruiting, or distribution of materials at the Event.

Lumen reserves the right to remove any attendee violating this Code of Conduct without refund and to report unlawful conduct to relevant authorities.

 

9. Fees, Payments & Refunds (Where Applicable)

  • Most Lumen webinars and events are complimentary. Where a fee applies, it will be clearly stated at registration.

  • All fees are non-refundable unless expressly stated otherwise or required by law.

  • If Lumen cancels a paid Event in full, registrants may be entitled to a refund of the registration fee paid, but not to reimbursement of any associated travel, lodging, or incidental costs.

  • Applicable taxes (GST, VAT, sales tax) will be charged where required.

 

10. Intellectual Property

  • All content presented at the Event — including presentations, slides, recordings, demonstrations, white papers, handouts, branding, logos, trademarks, and materials — is the exclusive property of Lumen, its affiliates, speakers, or licensors and is protected by intellectual property laws.

  • Attendees are granted a limited, non-exclusive, non-transferable license to use Event materials for personal, internal, non-commercial reference only.

  • Prohibited without prior written consent: copying, recording, screenshotting, reproducing, redistributing, publishing, broadcasting, translating, or creating derivative works from any Event content.

 

11. Third-Party Content, Sponsors & Links

  • Events may feature content, speakers, products, or services from third parties, sponsors, or partners. Such content does not constitute endorsement by Lumen.

  • Any links to third-party websites or resources are provided for convenience; Lumen is not responsible for the accuracy, content, or practices of third-party sites.

  • Interactions or transactions with sponsors/exhibitors are solely between you and the third party.

 

12. Technology, Access & Virtual Event Requirements

  • For virtual Events, attendees are responsible for ensuring they have: 

  • A stable internet connection, compatible device, browser, and any required software/plugins.

  • Necessary permissions on their corporate network to access the webinar platform.

  • Lumen is not responsible for technical issues, connectivity failures, platform outages, or interruptions arising from attendee-side equipment, networks, or third-party platforms.

 

13. Health, Safety & In-Person Event Requirements

  • Attendees of in-person Events must comply with all applicable health, safety, security, and venue-specific protocols (including any local public-health guidelines).

  • Lumen reserves the right to require proof of identification, health declarations, or security screening for entry.

  • Attendees participate at their own risk and are responsible for their personal safety, belongings, and any travel arrangements.

 

14. Force Majeure

Lumen shall not be liable for any failure or delay in performing its obligations or for any cancellation, postponement, or modification of the Event due to events beyond its reasonable control, including but not limited to: acts of God, natural disasters, pandemics, epidemics, public-health emergencies, government actions, war, terrorism, civil unrest, strikes, labor disputes, utility or telecommunications failures, cyberattacks, platform outages, or any other force majeure event.

 

15. Disclaimers & Limitation of Liability

  • The Event and all content are provided "AS IS" and "AS AVAILABLE" without warranties of any kind, express or implied.

  • Information shared at the Event is for general informational purposes only and does not constitute professional, legal, financial, or technical advice.

  • To the maximum extent permitted by law, Lumen, its affiliates, officers, directors, employees, agents, sponsors, and partners shall not be liable for any direct, indirect, incidental, consequential, special, exemplary, or punitive damages — including loss of profit, data, business, goodwill, travel costs, or other expenses — arising out of or in connection with your registration, attendance, or inability to attend the Event.

  • Lumen's total aggregate liability shall not exceed the amount (if any) paid by you for the specific Event.

 

16. Indemnification

You agree to indemnify, defend, and hold harmless Lumen, its affiliates, and their respective officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or related to: (a) your breach of these Terms; (b) your participation in the Event; (c) your violation of any law or third-party right; or (d) any content you submit or share at the Event.

 

17. Confidentiality

Certain Events or sessions may involve confidential, non-public, or proprietary information of Lumen, its customers, or partners. Attendees agree to treat such information as confidential and not to disclose, reproduce, or use it outside the Event without Lumen's prior written consent.

 

18. Compliance with Laws

Attendees agree to comply with all applicable laws and regulations, including anti-bribery, anti-corruption, anti-money-laundering, export-control, sanctions, data-protection, and competition laws.

 

19. Governing Law & Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the State of Louisiana, United States (or such other jurisdiction specified for a regional Event), without regard to conflict-of-law principles. Any disputes arising out of or relating to these Terms or the Event shall be resolved exclusively in the courts of competent jurisdiction located therein, unless otherwise required by applicable local law.

 

20. Modification of Terms

Lumen reserves the right to update, amend, or modify these Terms at any time without prior notice. The most current version will be posted on the Event registration page or Lumen's website, and continued participation constitutes acceptance of the revised Terms.

 

21. Severability & Entire Agreement

If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and effect. These Terms, together with the Privacy Notice and any event-specific terms, constitute the entire agreement between you and Lumen regarding the Event.
